Car rental in Dubai: six roles, one system, and RTA compliance built in

  • 6 roles
  • contracts registered in RTA TARS
  • Salik, DARB, parking and fines attached to the right rental automatically
  • every car on the map via SecurePath GPS
  • Emirates NBD statements read in automatically
  • invoice, contract and receipt generated in the system

What had to be done

  • one system for managers, brokers, the director, private customers, corporate customers and their drivers — each seeing only their part
  • every contract registered in RTA's TARS, as Dubai requires
  • tolls, parking and fines landing on the right rental without anyone re-typing them
  • every car visible on the map, as Dubai's SecurePath rules require
  • bank statements landing in the system, not in the accountant's inbox
  • the director seeing documents and money in one place

Six roles, one set of facts

The manager sees clients but not brokers' phone numbers; the broker sees their own clients with contacts; the director sees everything. Private customers get their own account: approve the invoice, sign the contract, confirm the keys, confirm the return. Companies get a portal for their drivers

tolls and fines go to the company

Compliance that works by itself

Contracts are registered in TARS from the system. Salik and DARB charges, parking and fines are collected on a schedule and attached to the rental they belong to — the customer sees them in their account, the director in the ledger. Every car reports its position through SecurePath — the tracker Dubai requires — so the whole fleet is on the map inside the system. Letters and monthly statements from Emirates NBD — deposits, transfers, the statement itself — are read in automatically and matched against the account, so the director sees the money without opening the bank's mailbox

Documents inside, not in a chat

Invoice, contract and receipt are generated in the system, in the right order: the broker sends documents, the customer approves and signs, the status changes for everyone at once

Works the same for

  • car and equipment rental
  • any business where a contract, a deposit, a return and third-party charges must meet in one place
